W Brisbane sits on the river in the heart of the CBD - a five-star hotel with over 1,100 square metres of event space across nine indoor and outdoor areas, from the Great Room to the rooftop WET Deck. It's one of the venues we work at most regularly, so we know the building, the loading dock, the bump-in procedures, and the lift access that shapes setup timing. Great Room
ROOM BY ROOM
The largest space at W. Pillarless with high ceilings built for scale. This is where light up letters do their best work as a stage backdrop, a 1.2m word or name behind a podium or dance floor reads from the back of a 300-plus crowd. It's also the room where W's dark interior lighting matters most, and where a lit display lifts the whole space.
Studios
W's Studio rooms suit weddings, engagement parties, birthdays, and smaller corporate functions, with floor-to-ceiling river views. A photo wall or arch backdrop sits well within these spaces without crowding them.
Great Room Foyer
The arrival point, and the first photo most guests take. A flower wall, shimmer wall or balloon arch setup here turns the entry into a moment - somewhere to gather, photograph and be welcomed before the main room. The foyer's lower light makes light up letters or a neon sign especially effective.
WET Deck
The rooftop pool and bar - a relaxed setting for birthdays and private events. Big light up numbers are the standout here, a 21st, 30th or 50th in 1.2m numbers with a rooftop view makes the milestone the centrepiece.
Hotel Suites & WOW Rooms
For surprise proposals and intimate birthdays in W's suites, we coordinate directly with the W team to deliver and collect from your room, so the setup is in place before you arrive and cleared afterwards, with nothing for you to manage on the day.

What backdrops suit W Brisbane?
It depends on the space. The Great Room takes large stage displays - large 1.2m light up letters and XL flower walls and shimmer walls (huge 4.8m width or larger). The foyer suits an entry photo moment like our photo walls and arch backdrops, the Studios suit neon signs, floral displays, and 60cm light up letters and the WET Deck is where big light up numbers shine for birthdays. Because W's interiors are deliberately dark, lit backdrops do double duty: a focal point and a light source.
Do you work with the W Brisbane events team?
Regularly. We're across the loading dock, the bump-in procedures and the building's access points, so coordination with the W team is routine rather than something we're figuring out on the day.
How does bump-in work - is there a timing consideration?
Access is via lift, which is the main thing to plan around. We factor it into bump-in timing and can work to tight turnarounds when the run sheet is busy - just let us know the delivery and collection windows and we'll build to it.
Can you set up a proposal or surprise in a hotel suite?
Yes. For suite proposals and in-room surprises we can liaise with the W Brisbane team to coordinate delivery and collection straight to your room, so everything's ready before you arrive and cleared afterwards without you lifting a finger.
