How to Style a Whole Conference With Hire Pieces (No Stylist Required)

One summit, multiple spaces, zero bespoke builds.
For the Aesthetic Business Masters Brisbane summit at W Brisbane in August 2026, every piece of styling came straight from our hire range: the stage backdrop, the entry photo op, a second photo moment, and the table centrepieces. There was no event producer, no designer fee, and no floral studio starting from a blank page.

It's a good answer to a question we get a lot in both Melbourne and Brisbane: can you style a big event just by hiring the right pieces? Yep. Here's how this one came together, and how you can do the same for yours.
We're a hire company, not stylists (same same but different)
Big Light Letters doesn't do event styling or planning. What we do is keep a tight, curated hire range of flower walls, arch sets, artificial florals, balloons and light up letters, built around the styles that book out again and again. If something's in our range, it's earned its spot.
That matters more than it sounds. When every piece comes from the one range, the colours and finishes already talk to each other. A flower wall, an arch set and a table centrepiece from the same collection read as one look across a big room and photograph consistently from every angle. You get a coherent event without paying someone to design coherence from scratch.
Space 1: The stage, from blank wall to speaker backdrop

Conference stages are often just a stage: dark drape, bare wall, a lectern. Fine in the room, flat in every photo.
Here, an XL flower wall filled the back of the stage and gave the speakers and panel discussion a full wall of colour behind them. On either side, a combined balloon and floral piece framed the wall and added height, so the stage looked like a finished set from the back row.
For conferences in particular, this is where your money works hardest. Every speaker shot, panel photo and livestream frame gets the same backdrop all day. One install, a full day of content.
Space 2: The entry photo op, a branded arch set

The first impression happens at the door. The entry feature was our EasyStage arch set, custom painted and finished with a vinyl logo decal. An LED arch behind it pushed light through the layers, and a flower tower and floral plinth in front grounded the whole thing.
The structure, the arches and the florals are all hire, with a custom finish on top. That combination is branded enough to feel made for your event, without the cost or build time of a fully fabricated piece.
Space 3: A second photo moment (aka how to avoid the entry bottleneck)

If you work in events, you know the spot. One photo wall at the entrance, everyone arriving at once, and suddenly registration is a queue going nowhere. iykyk.
The fix is a second photo moment at the other end of the entryway. Here it was 'ABM' light up letters with florals and balloons, set in front of the client's own media wall. The bulbs were switched to pink with our remote control coloured bulbs, so the letters picked up the event palette instead of sitting in warm white.
Two photo ops split the crowd, double the content and keep the entry moving. Light up letters suit the second spot because they're freestanding, work in a tighter footprint and read clearly from across a room.
Space 4: Table centrepieces that tie it all together

Floral table centrepieces carried the same colour scheme into the seating areas. They're small pieces, but they're what make the stage, the entry and the tables look like one event instead of three separate hires.
The floral trick: tailor, don't start from scratch
Most people don't know this part: none of the florals at this event were built from scratch.
We started with our most popular set, mocha & white rose, and worked the brand blue into it. Same proven arrangement, now on-brand. With about 4 weeks' lead time we can tailor an existing artificial floral set like this for a small additional cost, at a fraction of what you'd pay for fresh florals or fully custom arrangements from a florist.
Because it's still a hire set underneath, it arrives looking right, matches the pieces around it, and there's nothing to throw out afterwards.

How to style your own event this way
Map your spaces first. Stage, entry, overflow, tables. Note where people look and where photos get taken.
Give each space one hero piece. A flower wall for the stage, an arch set for the entry, light up letters for the second photo moment.
Plan two photo ops if everyone arrives at once. Put them at opposite ends so the crowd splits itself.
Pick one floral set and repeat it. Stage, arch, plinths and tables all in the same palette.
Brand with finishes, not builds. Coloured bulbs, a vinyl logo decal, a painted arch, or your brand colour worked into a floral set.
Book early if you want tailoring. Custom floral colours need about 4 weeks, and popular dates go early in both cities.

FAQ
Do you offer event styling?
No, we're a hire company. We supply a curated range of proven pieces, then deliver, install and collect them. Plenty of clients style a whole event from our range alone. If you need to see the vision first, we can provide a mock up of how the items will look together for your particular style and colour scheme.
Can your artificial florals match our brand colours?
Yes. We can tailor an existing floral set with your brand colour for a small additional cost, with about 4 weeks' lead time.
Can you style multiple spaces at one event?
Yes. Stage backdrops, entry features, second photo ops and table centrepieces can all come in the one booking, so everything matches.
Can light up letters be a colour other than white?
Yes. Our remote control coloured bulbs can be set to any colour to suit your palette.
Do you hire in Melbourne and Brisbane?
Yes. We deliver and install across Melbourne and Victoria, and Brisbane and South East Queensland. Running events in both cities? One supplier can handle both, with the same range and the same look. Read more about multi-city event hire.
How much does it cost, and how do I book?
All pricing is on our online booking page. You can book instantly online, or contact us for a quote.
